Rainier Clatskanie Youth Soccer Club (RCYSC) values the trust and privacy of our players, parents, volunteer coaches, and community members. This privacy policy explains our collection, handling, and security of personal information and our compliance with COPPA and Stripe merchant standards.
1 Information We Collect
To operate an organized youth sports league, we collect necessary personal details during player registration and account creation:
- Adult Parent / Guardian Details: Full legal name, residential address, telephone number, and email address.
- Youth Player Information: Player full name, birth date (required to assign proper US Youth Soccer age brackets), gender, jersey sizing, physician contact, and critical medical notes (e.g. asthma, severe allergies) to ensure player safety on the field.
- Emergency Contacts: Secondary contact names and phone numbers in the event a parent cannot be immediately reached during an athletic emergency.
2 COPPA & Youth Protection
RCYSC does not knowingly collect personal information directly from children under the age of 13. Children cannot create autonomous user accounts on our platform. All child player profiles, registrations, and medical disclosures are submitted and managed strictly by verified adult parents or legal guardians.
Player names, uniform numbers, and team designations are made available to rostered coaches, match assignors, and teammates solely for game logistics and team coordination. We never disclose youth player information to third-party advertisers or commercial entities.
3 Payment Security & Stripe Processing
All online player registration fee payments are handled by our payment gateway partner, Stripe, Inc.:
No Card Data Stored on RCYSC Servers
When paying registration fees, your payment card number, expiration date, and CVC security code are transmitted directly to Stripe via 256-bit SSL encrypted tokenization. RCYSC never sees, stores, or hosts raw credit card numbers on our servers.
PCI-DSS Level 1 Certified
Stripe is audited by a certified Qualified Security Assessor (QSA) and is certified to PCI Service Provider Level 1, the highest security tier available in the payments industry.
RCYSC retains only non-sensitive transaction confirmation receipts (e.g. Registration ID, card brand, last 4 digits of the card, and amount paid) for accounting and financial auditing purposes.
4 Purpose of Use
We use collected information exclusively to carry out non-profit amateur soccer operations:
- Assigning players to appropriate age divisions and balanced team rosters.
- Submitting required player cards and secondary insurance rosters to the Oregon Youth Soccer Association (OYSA) and US Youth Soccer.
- Ordering correct player jersey sizes from uniform suppliers.
- Notifying families regarding practice times, game schedule changes, weather cancellations, or board meetings.
- Managing installment schedules and verifying need-based scholarship applications.
5 Mobile Information & SMS Communications
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Mobile phone numbers collected through our portal are strictly utilized to deliver essential club announcements, game updates, field closures, schedule changes, and practice alerts via SMS from Rainier Clatskanie Youth Soccer Club.
Opt-In, Message Rates, and Opt-Out (STOP / HELP):
- Consent & Opt-In: By providing your telephone number and completing your account profile, you consent to receive informational club notifications via SMS.
- Message Frequency: Message frequency varies based on season schedule, weather, and team activities.
- Rates: Standard message and data rates may apply depending on your wireless carrier plan.
- Opt-Out (STOP): You can opt out of SMS alerts at any time by replying STOP to any text message received from our club number, or by updating your preferences in your profile settings. Upon replying STOP, you will receive a confirmation message and will receive no further SMS messages unless you re-enroll.
- Assistance (HELP): For assistance or questions regarding our messaging program, reply HELP to any text message, or email info@rcysc.org.
6 Guardian Rights & Data Access
Parents and legal guardians have the right at any time to:
- Review the personal data held about themselves and their registered children via the portal dashboard.
- Request corrections to any inaccurate phone numbers, addresses, or medical notes.
- Request the deletion or anonymization of family data once active season participation and legal insurance retention mandates conclude.
